Handbook: Getting access to Kapiche

A comprehensive guide that takes you through the different ways you can access Kapiche (including managing users & sharing Dashboards!)

There are quite a few different ways to access Kapiche depending on your access level, user type and preferred workflow, so we've put together a cheat-sheet to help you find the most relevant help guide!

Inviting a NEW Analyst User to your Kapiche Site

To maintain top security, we have a three-step authentication process when it comes to adding new Analyst users to Kapiche.

Before getting started there are two things you need to know:

  1. Only Admin Users of your Kapiche site are able to invite new Analyst Users

  2. Analyst Users require a paid Kapiche license (if you're an Admin, follow these steps to check how many licenses you have available)

Note: If you aren't sure who your Site Admin is, get in touch and we'll let you know!

Step 1: Invite the new user to your Kapiche Site:

  1. Navigate to your Kapiche Site

  2. Click on your profile menu towards the top-right corner of the page

  3. Click 'Users'

  4. Click the 'Invite user' button

  5. Type the email of the person you want to add into the invite box

  6. Select the desired Role. Your selection here will change what they can access (projects and/or dashboards)

  7. Select what projects/dashboards they can access

    1. Select which projects they can access (if you've selected Analyst) OR

    2. Select which dashboards they can access (if you've select Viewer).
      By default the new user will have no access. It is highly recommended to add them to a project or dashboard at this step.

  8. Click 'Send Invite'.

Step 2: The new user will need to activate their account

Your new user will receive an email invitation to activate their Kapiche account - they'll need to follow the instructions in their email to complete the registration process.

Step 3: Provide access to your relevant Projects
(If you skipped this during invitation)

Once your new user has successfully activated their Kapiche accounts you will then be able to invite them to your relevant Kapiche projects:

  1. Navigate to the Project(s) you would like to share with your new user

  2. Scroll down to the 'Project Members' section of the page

  3. Start typing in their email address & then select their email when it appears

Tip 1: If you would like this user to be able to access every Project on your Kapiche Site without needing to manually share each Project with them (e.g. Step 3), follow these steps to convert them to an Admin User once their account has been activated.

Tip 2: If the user's email address doesn't appear in the list, they likely haven't activated their account yet!


Checking how many Kapiche licenses you have available:

  1. Navigate to your Kapiche Site

  2. Click on your 'Profile Menu' towards the top-right corner of the page

  3. Click 'Users'

From there, the number of Analyst licenses available will be displayed along the top.

Tip: If you would like to organise an additional Analyst license, drop us a message via the blue live chat icon towards the bottom-right corner of any Kapiche screen!


Converting an Analyst User to an Admin User (or vice versa)

To convert an existing Analyst user to an Admin user:

  1. Navigate to your Kapiche Site

  2. Click on your profile menu towards the top-right corner of the page

  3. Click 'Users'

  4. Navigate to the User you would like to convert

  5. Click on the Dropdown Menu next to their name

  6. Choose Admin

  7. Done!

Note: Granting Admin access will give a user unrestricted access to all Kapiche Projects (all existing and any new ones created in the future) and will allow them to add and manage other Analyst users.


Sharing read-only access to a Dashboard with a NEW user

To maintain top security, we have a two-step authentication process when it comes to sharing a Dashboard with a new Kapiche user:

Step 1: Generate a new user invitation via the Dashboard menu:

  1. Navigate to the specific Dashboard you would like to add a new user to

  2. Click on the 'Share' icon towards the top-right corner of the page

  3. Type the email of the person you want to add into the invite box

  4. Hit enter to send an invitation to your new user

Step 2: Your user will need to activate their account

Your new user will receive an email with a link to accept their invitation to access a Kapiche Dashboard.

From there, all they need to do is complete the registration process and once done they'll be able to access the Dashboard that has been shared with them!

Tip: Once a user has created their account, you can then easily share additional dashboard with them!


Sharing read-only access to a Dashboard with an EXISTING user

Once a user has created a Kapiche Account you can easily share as many additional Dashboards with them as you'd like!

Here's what to do:

  1. Navigate to the specific Dashboard you would like to share

  2. Click on the 'Share' icon towards the top-right corner of the page

  3. Type the email of the user you would like to share the Dashboard with

  4. Click on their name once it appears in the drop-down menu

  5. Done!

From there, that user will receive an email letting them know that a new Dashboard has been shared with them!

Tip: The user will be able to see a list of all of the Dashboards that they have access to via the home page of your Kapiche site (e.g. app.kapiche.com/yoursitename)


Setting up Approved Domains for your Kapiche Site

Approved Domains allow you to share a Kapiche Dashboard using a custom Share-URL with new or existing Kapiche Users (removing the need to manually share a Dashboard with each user one at a time).

Note: New users will be prompted to create a Kapiche account before they can view the Dashboard and existing Kapiche Users will be able to access it automatically providing their account email address matches your approved domain.

How to setup Approved Domains:

To setup Approved Domains you must be an Admin User of your Kapiche site. If you aren't sure who your Site Admin is, get in touch and we'll let you know!

Step 1: Access your User Settings Page

  1. Navigate to your Kapiche Site

  2. Click on your profile menu towards the top-right corner of the page

  3. Click 'Users'

Step 2: Add a new Approved Domain

  1. Scroll to the bottom of the User Settings page

  2. Click Add Domain

  3. Type in your company's domain

  4. Done!

IMPORTANT DISCLAIMER:

Please use this functionality cautiously, as this would allow anyone in your company to access the Dashboard that has been shared (e.g. a team member could forward the Share-URL to someone else in the company).


Removing an Approved Domain from your Kapiche site

To remove an Approved Domain you must be an Admin User of your Kapiche site. If you aren't sure who your Site Admin is, get in touch and we'll let you know!

Step 1: Access your User Settings Page

  1. Navigate to your Kapiche Site

  2. Click on your profile menu towards the top-right corner of the page

  3. Click 'Users'

Step 2: Remove the existing domain

  1. Scroll to the bottom of the User Settings page

  2. Click Remove next to the existing domain

  3. Done!


Sharing read-only access to a specific Dashboard with multiple users at once

Before you can share a Dashboard with multiple users at once you'll need to have an Approved Domain setup for your Kapiche site.

Here's how to share a Dashboard with multiple users at once:

  1. Head to the Dashboard you would like to share

  2. Click on the 'Share' icon towards the top-right corner of the page

  3. Copy the Share-URL

  4. Send the URL to the relevant team members

  5. Done!

From there, existing Kapiche users who have an account that matches your approved domain will be able to automatically view the Dashboard when clicking on the URL (and new users will be asked to create a Kapiche account before they can access it)


Allowing everyone in your company to access a Dashboard without needing them to create a Kapiche Account

This isn't currently possible as we want to keep your data as secure and as protected as possible. With this in mind, users can easily create a Kapiche Account via SSO using their Microsoft, Azure AD or Google Accounts!


Troubleshooting issues when trying to access a Dashboard

The most common reason you might not be able to load a Dashboard that has been shared with you (e.g. you see an error when clicking on the link or the page is perpetually stuck on a loading screen) is due to not having the right permissions.

This will typically happen if a team member has shared a Dashboard with you using a URL but they haven't added your account as an approved viewer.

We recommend getting in touch with the team member who shared the Dashboard with you so that they can give your account appropriate access!

Troubleshooting issues when creating a new Kapiche Account

If you're trying to create a new Kapiche Account and are getting an error (e.g. the User Limits have been exceeded, a code 500 or any other error) please get in touch with us and we'll help you get up and running again!
