Configuring your Forsta integration

How to connect your Forsta surveys to Kapiche, how responses are imported and kept up to date, and what to do if a sync fails.

Written by David Perkins

Connect your Forsta surveys (formerly Confirmit) to Kapiche, and new responses will import into your project automatically.

Before you start

  • Ask us to turn on the Forsta integration. It's enabled for each Kapiche site by our team. Contact us using the chat icon at the bottom right of any screen.

  • You need to be a site admin in Kapiche to add the integration.

  • Get API credentials from Forsta. Your Forsta administrator can create these. You'll need a Client ID, a Client Secret and your Forsta instance URL, which is the web address of your Forsta environment (for example https://horizons.confirmit.eu). The credentials need access to your surveys. See Forsta's authentication guide for details.

Tip: create the credentials for a shared API user rather than a person's own account, so the integration keeps working if someone leaves or changes role.

To connect Forsta to Kapiche

  1. On your Kapiche homepage, click your Profile Name in the top-right corner, then Integrations.

  2. Click Add next to Forsta.

  3. Enter your Client ID, Client Secret and Forsta instance URL, then click Save.

Kapiche checks the credentials straight away. If they're accepted, Forsta shows as enabled. If not, you'll see an error message so you can check the details and try again.

Creating a project from a Forsta survey

  1. Click Create Project, then Import data from an integration, then Forsta.

  2. Choose the survey you want to import. You can search by name, and each survey shows its ID, status and when it was last changed.

  3. Follow the usual steps to finish creating your project. Kapiche selects the unique ID for you, so responses aren't duplicated when new data arrives.

How your Forsta data comes into Kapiche

  • Columns. Each question becomes a column named with the question text. Grid questions are split into one column for each row, and answer codes are converted to their labels.

  • Which responses. If your survey has completed responses, Kapiche imports completed responses only. If it has none, all responses are imported.

  • Daily updates. Your project syncs once a day, importing responses that finished since the last successful sync. If a sync fails, the next one retries the same period, so no responses are skipped. By default the sync runs at about the time of day the project was created; contact us if you'd like a different time.

  • Edited responses. Changes made to a response in Forsta after it has been imported aren't picked up automatically. Contact us if you need responses imported again.

Checking your import status

To see how syncing is going, open the project. The Project Data panel shows a row for each sync, with its progress while it runs, the number of records once it finishes, or Import failed if something went wrong. If you see Import failed, contact us and we'll look into it.

What if my survey changes?

You don't need a new project when your survey changes, but let us know when you add, remove or reword a question. Because columns are named with the question text, rewording a question can move its answers to a new column, so data stops arriving where your analysis expects it. We'll update the mapping so your project keeps up.

Troubleshooting

  • Credentials are rejected, or syncs start failing. This usually means the Client Secret was regenerated, or the API user was deactivated or lost access in Forsta. Create new credentials in Forsta and enter them in Integrations.

  • A survey is missing from the list, or a sync says the survey wasn't found. Check the survey still exists in Forsta and that the API user can access it.

  • Fewer responses than expected. First check you're comparing the same dates. Kapiche counts responses by your project's date field, while Forsta's responses page filters by interview start date by default, and interview start, interview end and your own date fields can each give a different total for the same month. Partial responses also aren't imported when your survey has completed responses. For other differences, see Why don't my numbers match?

  • A large first import is slow. Forsta limits how many requests can be made in a period. Kapiche waits and retries automatically, so large surveys can take longer to import.

  • You need to remove responses from a project. Contact us and we'll help.
