What is the difference between a record and verbatim?

A quick guide that explains the difference between a record vs a verbatim and why these statistics don't always match.

What is the difference between a record and verbatim?

A record (or row) is a single entry in your dataset, representing an individual response, such as a survey submission, support ticket, or piece of feedback.

A verbatim refers to each open-ended response within a record. Since a record may contain multiple open-ended responses, the number of verbatim can be higher than the number of records.

Why don’t the total records and verbatim always match?

There are a few key reasons why the number of records and verbatim can differ:

  1. Some records don’t contain a verbatim response

    1. If a respondent skips an open-ended question, their record is still included, but no verbatim is counted.

  2. A single record can contain multiple verbatim responses

    1. If a dataset includes multiple open-ended questions, a single record can contribute multiple verbatim responses.

Example: Imagine a survey with two open-ended questions:

  1. What did you like most about your experience?

  2. What could we improve?

If a respondent answers both, their single record contains two verbatim responses.

  • Total Records: 1

  • Total Verbatim: 2

Why does the number change when filtering by theme or segment?

When filtering by a theme, Kapiche analyzes individual verbatim responses. A single record may contain multiple verbatim, but only those matching the selected theme are counted.

For example, a record may contain two verbatim responses:

  • “The checkout process was smooth.”

  • “Customer support was unhelpful.”

If filtering by a ‘Support’ theme, only the second response is included, even though the full record contains another unrelated response.

If filtering by a segment (e.g., “Location = Sydney”), records are first filtered by segment, and then the verbatim within those records are counted.

This explains why the total records and verbatim can be different, especially when filtering by themes or segments.
